In this article, we’ll guide you through the process of creating WhatsApp message templates directly from your Settings in Maqsam. Follow these steps to manage your templates effectively.
What is a WhatsApp Template?
A WhatsApp template is a pre-approved message that can be used for customer interactions, such as appointment reminders, order updates, or support follow-ups. To ensure compliance with WhatsApp Business guidelines, templates must be approved before they can be sent to customers.
How to Create a WhatsApp Template
Step 1: Access WhatsApp Settings
Navigate to the Settings section of your account.
In the left-hand menu, select WhatsApp under Account settings.
Here, you’ll see a table displaying your existing WhatsApp templates, their statuses (Approved, Pending, Rejected), and options to activate or deactivate each template.
Step 2: Click on “New Template”
Step 3: Fill in the Template Details
In the template creation modal, you’ll need to provide the following details:
Name: Give your template a unique name that will help you identify it later. The name should not have any spaces.
Category: Select the category that best fits your message (e.g., Utility, Marketing).
Utility: This category is used for notifications, updates, and reminders that provide helpful or necessary information to your customers, such as appointment reminders, shipping updates, or order confirmations.
Marketing: This category focuses on promotional content to engage customers, such as special offers, product launches, or personalized recommendations to encourage purchases or interactions.
Language: Choose the language in which your message will be sent.
Media (Optional): You can add media like images or files to your template if needed.
Buttons (Optional): You can add buttons to make your template more engaging.
Step 4: Submit the Template for Approval
Once you’ve filled in all the required information, click Save. Your template will be sent for review by WhatsApp.
We offer two types of buttons: Quick Replies and Call-to-Action. Each template can include only one type of button.
- Quick Replies: You can add up to 3 quick reply buttons per template. These buttons allow customers to respond by tapping them, sending the button's text as a message in the conversation.
- Call-to-Action: You can add up to 2 call-to-action buttons per template. These buttons initiate a phone call or redirect customers to a website when tapped.
Quick Replies
These custom text-only buttons make it easy for customers to respond quickly with predefined text messages. When a customer taps a button, their response is sent as part of the conversation. You can include up to three Quick Reply buttons in a single template.
There are two types of Quick Replies:
- Quick Reply: A customizable button that allows you to define the text customers can use to reply in the chat.
- Enter the Button Text in the dedicated field.
- Opt-Out: A pre-configured button with the predefined text "Stop Promotions," enabling customers to opt out of receiving further messages.
Call to Action
When customers click these buttons, they can perform actions such as visiting an external URL or making a phone call to a specified number. You can include up to two Call-to-Action buttons in a single template.
There are two types of Call-to-Action buttons:
- URL: Directs customers to any external URL.
- Insert the button text and URL in the dedicated fields
- Phone Number: Allows customers to call a specified phone number.
- Insert the button text and URL in the dedicated fields
How to Manage Your WhatsApp Templates
After you submit your template, it will appear in the table on the WhatsApp settings page. Here’s how to manage them:
Template Statuses
Approved: These templates are ready to be used and will display a green label in the table.
Pending: Templates under review will display a yellow label.
Rejected: If a template is rejected, it will display a red label. You can click on the “i” icon next to the status to view the rejection reason.
Activate/Deactivate Templates
You can use the toggle switch in the Active column to activate or deactivate your templates at any time.
Handling Rejected Templates
If your template is rejected, don’t worry! Follow these steps to resubmit it:
In the WhatsApp section of Settings, locate the rejected template.
Click on the “i” icon next to the Rejected status to view the rejection reason.
Once created a new template with the new changes, submit the template for approval.
