# Contact Fields
## Learn how to create custom contact fields in Maqsam so your Phonebook stores the exact details your team needs about every contact.
### **🔍 Overview of Contact Fields**
**Contact Fields** in Maqsam you decide what information is saved for each contact in your Phonebook. Alongside the default fields, you can add your own fields, such as a contact's gender, preferred language, or LinkedIn profile, and choose how each one is filled in: free text, a number, an email, a link, a date, or a list of options.
Every custom field you create appears in the Phonebook as a column, in the contact creation form, in the contact filters, so the same information is captured the same way everywhere.

### **⚙️ How to Access Contact Fields**
1. Log in to your Maqsam account.
2. Click your name in the top-right corner and select **Settings**.
3. In the left menu, expand **Customizations** and click **Contact Fields**.
4. The **Contact Fields** page opens, listing all fields currently used for your contacts.
💡 **Tip**: The order of fields on this page is the order of the columns in your Phonebook.

### **⚙️ How to Create and Manage Contact Fields**
#### **Create a Contact Field**
1. Click **Create Contact Field**.
2. Enter the **English Name** and the **Arabic Name** of the field (up to 40 characters each).
3. Select **Make this field required** if every contact must have a value for this field.
4. Choose the field's **Type**.
5. For **Single Select** or **Multiple Select**, add each option under **Option Values** with its **English Value** and **Arabic Value**, clicking **+** to add the next option.
6. Click **Create**.
#### **Available Field Types:**
- **🔤 Text:** Free text, such as a department or a note.
- **🔗 URL:** A web link, such as a LinkedIn profile.
- **✉️ Email:** An email address.
- **🔢 Number:** A numeric value, such as an account number.
- **☑️ Single Select:** One option chosen from a list you define.
- **✅ Multiple Select:** One or more options chosen from a list you define.
- **📅 Date:** A calendar date, such as a birthday or renewal date.

#### **Edit or Delete a Contact Field**
1. Click the row menu (⋮) next to the field.
2. Select **Edit** to update the field, or **Delete** to remove it.
3. Click **Save** to apply your edits.
#### **Reorder Contact Fields or Change Whether They're Required**
1. Drag a field by its handle to move it up or down the list.
2. Switch the **Mandatory** toggle on or off to make a field required or optional.
#### **Use Contact Fields in the Phonebook**
1. Go to the **Phonebook** page and open the **Contacts** tab to see your fields as columns.
2. Click **Create** to add a contact and fill in your custom fields in the form.
3. Click **Filter contacts** to filter by any custom field.
4. To import contacts, click **Manage**, choose to import, and click **Download a template** to get a file that already includes your custom fields.

### **📌 Notes**
- Import files must be CSV, XLS, or XLSX, up to 5 MB.
- Only users with access to **Settings** can create, edit, or delete contact fields.

### **❓ FAQ**
**What happens to my existing contacts when I add a new field?**
Nothing changes for them. The new column appears in the Phonebook and stays empty for existing contacts until you fill it in.
**Why did some contacts fail to import with "required field … is missing"?**
A required field was empty in those rows. Click **Download Failed Contacts** in **Import Results**, fill in the missing values, and import the file again.
**How do I change the order of columns in the Phonebook?**
Go to **Settings** \> **Customizations** \> **Contact Fields** and drag the fields into the order you want. The Phonebook columns follow the same order.
**Can I make a default field like Email or Job Title required?**
Yes. Switch on the **Mandatory** toggle next to the field on the **Contact Fields** page.
**Can I remove the None option from a select field?**
No. **None** is added automatically so existing contacts always have a valid value, and it cannot be deleted.
